Business Travel & MICE Assessment Day
Before a project is decided on, it has to be clear what is actually wrong. The Assessment Day is a one-day entry format with a written result — on site or remote. It looks at business travel and meetings together, because both touch the same structures, contracts and data, yet in most organisations they are managed separately.
Typical triggers
- Travel spend and meeting spend cannot be shown in one consolidated view
- Concur or another system is live, but the process chain does not work
- Substantial manual rework in expense processing or in accounting
- Negotiated rates and contracts go unused, with a high share of bookings outside the official channels
- Unclear responsibilities across travel, finance, procurement, HR and legal
- Duty of care processes do not hold up, particularly for international travel
- Ahead of a tender, a system decision or a larger undertaking
How it runs
Introductory call.
Thirty minutes by phone. We establish whether the Assessment Day is the right format for your situation and who should take part. Free and without obligation.
Assessment Day.
One day on site or remote: structured conversations with the functions involved, plus a review of policies, contracts, systems and reporting.
Analysis.
I condense the results into a concise optimisation concept, separate symptom from cause, and rate the levers by impact and feasibility.
Handover of results.
You receive the written concept and a presentation for the decision-making level.
What you receive
- A concise picture of your current travel and meeting structures
- The three to five most important levers across governance, processes, data, duty of care and meetings/MICE
- A prioritised list of measures with an estimate of impact and feasibility
- An order for the decisions that need to be taken first
- A management presentation you can carry forward internally
Who should take part
The Assessment Day only works if the functions involved are at the table together. Typically that means travel and mobility, finance or accounts payable, procurement, HR and — depending on the question — legal. That constellation is the real value of the day: in many organisations these functions sit down together over travel and meetings for the first time.
Self-contained, but a natural starting point
The Assessment Day is a complete product and commits you to nothing. If a larger undertaking emerges from it, it can lead into a governance project — but it does not have to. Either way you are left with a result you can carry forward internally.
Terms
The Assessment Day is commissioned at a fixed price per day, including preparation and follow-up. Travel and accommodation costs are invoiced separately. Terms on request — we agree them in the introductory call, depending on scope, number of sites and systems involved.
